Japanese Speaking Admin/Secretary - Prestigious Financial Institution

 

Our client, a prestigious international financial institution, is looking for a Japanese speaking Admin/Secretary for the Planning & Management Department.

 

Responsibilities:

Reporting directly to Head of Planning & Management Department, the candidate is a member of the Administration Team with 3 main key responsibilities in providing: (i) secretarial support to the President, (ii) administrative support to the Planning & Management Department and (iii) relocation logistics support for Japanese expatriates.

 

  • Provide full spectrum of secretarial and administrative supports to the President such as maintenance of executive calendar and scheduling of meetings, appointments, business travel including reimbursement of expenses

  • Provide office administration supports such as answering of incoming calls in a professional manner; managing departmental filing systems and job duties of an Office Assistant, and participation in office relocation and other company events

  • Provide relocation logistic supports for Japanese expatriates including visa application, housing arrangement and others

  • Coordinate all logistical arrangement for overseas visitors/Japanese interns including meeting arrangement and serving as the main point-of-contact during their visit period

  • Support Japanese-English-Chinese translation when necessary

  • Handle other ad-hoc duties as assigned

 

Requirements:

  • Proficient in written and spoken Japanese, English and Chinese is a must

  • A few years of relevant working experience in supporting senior executives

  • Excellent interpersonal skill with various stakeholders and positive attitude

  • Be able to communicate with an upbeat and professional phone etiquette

  • Reliable, detail-minded, well-organized, self-motivated, mature and be able to handle confidential and sensitive information with poise, diplomacy, and trustworthiness

  • Skillful in Microsoft Office (Words, Excel, PowerPoint, Outlook)
